HOW TO SUBMIT A REQUEST TO ADD NEW CONTENT
 
This document describes how to use the Submit New Request function to Add New Content, using the Explorer/Java user interface.
  1. Log on to WebSite Director (WSD) using your WSD User Name and Password.
    • The Application Desktop provides access to all WSD functions for which you have permission.
  2. Click Submit New Request under Things I can do on the Application Desktop.
    • The Submit New Request screen displays.
    • The Document directories are listed under the Documents title when you first access this screen. If your new content will be a Template, page down and click the Templates Open icon to list the Template directories.
    • The default workflow stage for your system displays under the screen title in the upper right portion of the screen. The value will always reflect the submission stage into which requests will be placed, based on the following:

      1. If you have been assigned an Approval Class, the new request will be placed in the Default Workflow Stage for your assigned Approval Class.
      2. If you have not been assigned an Approval Class, and the subdirectory displayed in the Address space has an assigned Approval Class, the value will reflect the submission stage for the Approval Class assigned to the subdirectory.
      3. If none of the above are true, the request will be placed submission stage assigned to the Default Approval Class for your system (assigned on the System Configuration screen).
  3. Navigate to the directory (under Web Site Root Directory) into which the new content is to reside.
  4. Click . The first of two Add/Upload Document screen displays.
  5. Type the file name of the new content in the New Filename data entry field. 
    • If you did not select the directory on the Submit New Request screen, or if you wish to use another directory, include the directory name here. 
    • If the file name you type is that of a previously deleted document, WSD will ask you if you want to create a new document or recover the deleted one. 
    • The filename extension (e.g. .html, .gif, etc) will be used to determine the mime-type associated with the new content. If you do not include the correct filename extension, your browser may not display the content properly.
  6. If the new content will use a Page Layout Template, select the template name from the dropdown list.
  7. Click “Continue” to continue to the next Add/Upload Document screen.
  8. The second Add/Upload Document screen displays the following information entered on previous screens:  
    • Document: displays the path (directory) and filename -- entered on the first Add/Upload Document screen. 
    • Page Layout Template: displays the template that will be used if one was selected on the first Add/Upload Document screen. If permitted, you may change the Page Layout Template using the Properties screen. 
  9. The data entry fields on this screen allow you to complete the Add/Upload process by entering/selecting the information described below, and submitting the request. This screen allows you to create or upload the initial content and contains the following information:
    • Submitting to:  Based on your user permissions, this drop-down list displays the the workflow stage into which this request will be placed when you click the SUBMIT button, and may also allow you to select from a list of other stages assigned to the Approval Class associated with the Request. If you do not have approval permission for a workflow stage assigned to the Approval Class, you may still approve the request into that stage. However, any stages that may follow that stage will not be listed.
      Note: If the desired stage is not in the list, and you have "Modify Approval Needed" permission, you may select different stages on the Approvals Needed screen (accessed from the request's Properties screen).  After you return from the Approvals Needed screen, you must Refresh this screen in order for the new/changed stages to display in this list.

      The approval class associated with your request is based on the following:

      1. If you have been assigned an Approval Class, the drop-down box lists the Workflow Stages for your assigned Approval Class. 
      2. If you have not been assigned an Approval Class, and the subdirectory displayed in the Address space has an assigned Approval Class, the workflow stages assigned to the subdirectory will be listed.
      3. If none of the above are true, the stages assigned to your system's Default Approval Class (assigned on the System Configuration screen) will be listed.

    • Title: this is a data entry box where you may type the title of the new content. 
    • Description: this is a data entry field where you may type the description of the new content (up to 255 characters). 
    • Header and Footer: these drop-down selection boxes list the templates that you may select for your content.
      • The content's Mime Type must have "Templates Supported" enabled on the Maintain Mime Types screen (accessed from System Configuration).
      • If a Page Layout Template will be used to create this content, choosing a different header and/or footer template may adversely affect the format of the published page. Use the View Request function to determine if the header and/or footer you choose is compatible with the Page Layout Template you are using.
    • Comments: allows you to type your comments regarding this request, or instructions to other members collaborating in your workflow into this data entry box. These comments will become part of the permanent record associated with this request.
  10. Select one of the following function keys:
    • UPLOAD: Select this function if you are uploading new content from your workstation. When you complete the upload, you will return to this page. Note: This function is NOT available if you have selected a Page Layout Template, or have not been given permission to upload content from your local computer.
    • VIEW REQUEST: Select this function to display the request's content in a browser window. The display will include any assigned header and footer templates.
    • PROPERTIES: Select this function to display the Properties for this request.
    • CREATE ONLINE: When present, allows you to create the new content online. Based on your permissions, you may be able to choose between using the WYSIWYG editor or TEXT/HTML browser editor to create your content.
  11. After you finish entering information for the new request, you have three options in the Finish Request box:
    a. SUBMIT WSD saves the new request and displays the Request Processed screen.

Note: The Go to <Workflow Stage Name> on the Request Processed screen only displays if you have selected the Single Window display mode (on User Preferences) and if you have permission to access, edit, or approve documents in <Workflow Stage Name>.

b. SAVE Select this function if you do not wish to submit this request into the Workflow at this time. WSD will place the request into your Pending Requests workflow stage, and display the Request Saved confirmation screen. Note: The Pending Requests stage is a private workflow stage where you can work on requests before Approving them into the workflow process. Requests in your Pending Requests stage can only be viewed by you and a System Administrator.

c. CANCEL Select this function to cancel the request. WSD displays the following screen where you can either confirm that you want to cancel (abort) the request, or return to the Add/Upload Document screen.
