HOW TO SUBMIT A REQUEST FOR EXISTING CONTENT

This document provides instructions for using the Submit New Request function to modify existing content using the Explorer/Java user interface. Note: Certain items in step 6 (below) require specific user permissions. If you are not able to complete the necessary actions, you must contact your User Administrator to make sure you have those Property Update Permissions (set on the User Permissions screen).
  • Log on to WebSite Director (WSD) using your WSD User Name and Password.
    • The Application Desktop displays three selection bars - Menu Bar, Menu Tool Bar and Function Tool Bar – that provide access to WSD functions.
      • Menu Bar - The four drop-down lists on this bar provide text selections, and include the same functions as those provided by incons on the Menu Tool Bar and Function Tool Bar.
      • Menu Tool Bar - This bar provides icon selections for access to your User Preferences, Submit New Request (in the default workflow stage), administrative screens, help screens and tutorials.
      • Function Tool Bar - This bar provides icon selections for access to screens that allow you to perform functions associated with requests to add and maintain content on your site.
    • Immediately below these bars are the Things I can do and Request Selection panels.
  • Click Submit New Request under Things I Can Do on the Application Desktop.
    • The Submit New Request screen displays.
    • If you have been assigned an Approval Class, the Submit New Request screen displays the default submission stage assigned to your Approval Class. If there is no assigned Approval Class, the Submit New Request screen displays the submission stage assigned to your system's Default Approval Class. 
    • The directories under the Documents title are listed when you first access this screen.  If the content you will be submitting is a Template, page down and click the Templates Open icon to list the Template directories.
  • Navigate to the directory (under Web Site Root Directory) into which the existing content resides by clicking the [+] icon to open the subdirectories.
  • Click on the directory in which the content resides to display the content within the directory in the File Selection panel.
  • Select the filename of the content to be submitted.
  • Click  to display the Modify Document screen.

The Modify Document screen allows you to change the content by editing it online, by downloading the content so you can work on it offline, and by uploading revised content from your hard drive. The following information displays:

Document: displays the path (directory) and filename of the content selected on the Application Desktop.

Page Layout Template: displays if the content uses a template. You may not change the Page Layout Template on this screen.  If permitted, you may change the template on the request's Properties screen.

The Modify Document screen provides the following data entry and selection fields:

    • Submitting to:  Based on your user permissions, this drop-down list displays the the workflow stage into which this request will be placed when you click the SUBMIT button, and may also allow you to select from a list of other stages assigned to the Approval Class associated with the Request. If you do not have approval permission for a workflow stage assigned to the Approval Class, you may still approve the request into that stage. However, any stages that may follow that stage will not be listed.
 Note: If the desired stage is not in the list, and you have "Modify Approval Needed" permission, you may select different stages on the Approvals Needed screen (accessed from the request's Properties screen).  After you return from the Approvals Needed screen, you must Refresh this screen in order for the new/changed stages to display in this list.
The approval class associated with your request is based on the following:
  1. If you have been assigned an Approval Class, the drop-down box lists the Workflow Stages for your assigned Approval Class. 
  2. If you have not been assigned an Approval Class, and the subdirectory displayed in the Address space has an assigned Approval Class, the workflow stages assigned to the subdirectory will be listed.
  3. If none of the above are true, the stages assigned to your system's Default Approval Class (assigned on the System Configuration screen) will be listed.
    • Title: is a data entry field where you may type the title of the new content in this Data Entry box.
    • Description: is a data entry field where you may type the description of the new content in this Data Entry box; up to 255 characters.
    • Header and/or Footer:: these drop-down selection boxes list the templates that you may select for your content. The content's Mime Type must have "Templates Supported" enabled on the Maintain Mime Types screen (accessed from System Configuration). Note: If a Page Layout Template is used, choosing a different header and/or footer template may adversely affect the format of the published page. Use the View Request function to determine if the header and/or footer you choose is compatible with the Page Layout Template you are using.
    • Comments: type your comments regarding this request, or instructions to other team members into this data entry area. These comments will become part of the permanent record associated with this request, and may be viewed in the content's Version History after it is published.
  • The following functions are supported on this screen:
    • UPLOAD Click this function to display the Upload File window; when you complete the upload, you will return to this page.
      • If your site uses the Wp2HTML add-on software, and the uploaded document is a Microsoft Word document (.doc extension), the Convert Word Document to HTML checkbox displays. Select this checkbox if you want to convert the .doc file to HTML. Note: This function is NOT available if you have selected a Page Layout Template, or have not been given permission to upload content from your local computer.
    • VIEW REQUEST Select this function to display the request's content in a browser window. The display will include any assigned header and footer templates.
    • PROPERTIES Select this function to display the Properties for the request.
    • EDIT ONLINE Select the method you want to use to edit the content online -- WYSIWYG to access the selected WYSIWYG editor (if a Page Layout Template is assigned to this request, the Create Online screen will load the Page Layout Template) or TEXT to access the online browser editor.
    • DOWNLOAD Select to download the file to your local computer.

  • After you finish entering information for the new request, select one of the following three options in the Finish Request box:
    • SUBMIT WSD processes the new request and displays the Request Processed screen. Note: The Go to <Workflow Stage Name> displays if you have selected the Single Window display mode (on User Preferences) and if you have permission to access, edit, or approve documents in <Workflow Stage Name>.
    • SAVE Select this function if you do not wish to submit this request into the Workflow at this time. WSD will place the request into your Pending Requests workflow stage, and display the Request Saved confirmation screen. Note: The Pending Requests stage is a private workflow stage where you can work on requests before Approving them into the workflow process. Requests in your Pending Requests stage can only be viewed by you and a System Administrator.
    • CANCEL Select this function to cancel the request. WSD displays the Confirm Cancel Request screen where you can either confirm that you want to cancel (abort) the request, or return to this screen.
