VERSION HISTORY

WebSite Director (WSD) retains the Version History for published content (documents and templates)  in RCS (Revision Control System)-formatted version files and database records. This does not include Templates that are created or updated via the Maintain Templates screen.

The information in the database record includes the original author, version numbers, dates, and authors for each version of the content. You can view this information on t he WSD  Version History screen, accessed from the content's Properties screen, as described below. You can also view the request's approvals for each version, based on the setting of the Request/Approval History Age (in days) on the System Configuration screen.

The length of time that the approvals for a version are retained is based on the time set for Request/Approval History Age (in days) on the System Configuration screen. This time is based on elapsed time in 24-hour increments from the actual time each version was published. For example, if this age is set to 2, the approval history will be deleted when the cleanup module is next run "after" 48 hours have elapsed since the history file was created. If you want to keep the approval history information in the database forever, this number should be set to -1.

Version Numbers

Each time content is submitted via Submit New Request (add, modify, copy, move, rename), it is "checked in" to the WSD repository and its version number is updated by the increment set on the System Configuration screen.New content (documents) and templates (via an ADD/UPLOAD request) have a Version Number of 1.0, and will increment by the number set on the System Configuration screen each time the document or template is published.  For example, if you designate a Version Increment of 0.1 (the WSD default), the next time the document or template is published, the Version Number will increment to 1.1. If the document or template Version Number climbs to 1.9, the next time it is published, the number will increment to 2.0.

How to Revert to a Previous Version

To revert to a previous version of a document or template, complete the following steps:

  1. Log in to WSD using your User Name and Password.
    • The WSD Application Desktop displays.
  2. Click the Submit New Request button/icon.
    • The Submit New Request screen displays. 
  3. On the Submit New Request, navigate to the filename of the content in the File Selection list.
  4. Highlight the filename and click Properties
    • The Properties screen for the content displays.
  5. On the Properties screen, click Version History .
    • The Version History screen displays the following for each version of the content: a selection button, the version number, the date the version was published, the author of the version, and all comments associated with the version.
  6. On the Version History screen, locate the version that you belive you want to revert to, and click the radio button preceeding that version.
  7. Verify your selection by selectively clicking on any/all of the following buttons located at the bottom of that screen:
    • View -- WSD will render the selected version in a new browser window.
    • Compare with Published -- WSD will render both the selected version and the currently published version in a new window for comparison, side by side either horizontally or vertically depending on your User Preferences setting.
    • Properties -- WSD will display the content properties in effect for the selected version when it was published
  8. When you are certain you have selected the correct version, click the Submit as new update button at the bottom of the screen.
    • The Modify Document screen displays.
  9. Depending on your WSD User Permissions, you may edit the document before submitting it by clicking the Edit Online button or downloading it to your workstaion, editing it there, then uploading the modified version for processing by WSD.
  10. Enter your comments regarding the submission, and click Submit
    • WSD places the request into the workflow for review, approval and publishing .

You can also perform the following functions on the Version History screen:

COMMENTS Select a Version by clicking the radio button to the left of the Version, then select this function to display the selected version's comments in a full-size browser window.
APPROVAL HISTORY Select a Version by clicking the radio button to the left of the Version, then select this function to display detailed information about the selected version's passage through the approval process.
PROPERTIES Select a Version by clicking the radio button to the left of the Version, then select this function to display the Properties screen for the selected version.
VIEW Select a Version by clicking the radio button to the left of the Version, then select this function to display the selected version in a browser window.
COMPARE WITH PUBLISHED Select a Version by clicking the radio button to the left of the Version, then select this function to display the selected version and the currently published version in a split browser window.
