LOCKED REQUEST

WebSite Director (WSD) provides the ability to lock and un-lock (check-out and check-in) requests to prevent other users from changing the content (Document or Template) associated with the request.

There are two system settings that control locking of requests:

  • The System Policies screen provides a setting that allows the System Administrator to set the "Default Leave Request Locked" option as follows:
    • "Yes" locks requests when they are accessed from the Edit Request screen. Users must deselect the "Leave Request Locked" checkbox to unlock the request. 
    • "No" leaves the request in its previous state when accessed from the Edit Request screen.
  • The User Permissions screen provides the "Unlock All Requests" System Permission which allows users to unlock a "Locked" request, even they are not a System Administrator.

Regardless of the default setting, WSD automatically locks a request (sets the check-box value to "Leave Document Locked") when a user downloads the content to their local PC. It is the user's responsibility to "un-check" the box following any download if the request is not to be checked out of WSD.

When a request is locked, the word "(locked)" displays to right of the filename on the workflow stage screen. A request may be locked because another user is currently working online, a user may have checked out the request to work offline, or a user may have forgotten to unlock the request. If you have "Unlock All Requests" System Permission (set on the User Permissions screen), you may unlock the request as follows:

Important Note: Care should be taken before unlocking a 'locked' request.
Make sure the locking user is not currently working on it.
 
1 Highlight the Request and click PROPERTIES.  
2 Scroll down to the Locked By field. This field displays the name of the user who is presently working on the request, or the name of the user who locked the request. A drop-down list includes all current WSD users. 
3 In the drop-down list, highlight the word "No Lock" or the name of one of the listed users.  
4 Click UPDATE PROPERTIES.
