SYSTEM POLICIES

This screen allows you to revise the WSD system policy information listed on this screen. 

INFORMATION ON THIS SCREEN:
Allow comment editing in View-only stages (WSD Pro only)  Select "Yes" to allow users (author, maintainer or submitter of a request) who only have "Access" (View-Only) permission for a stage to enter comments about requests in that stage (see Workflow Permissions on the User Permissions screen). "No" prevents these users from entering comments.
Author can reject request in View-only stages (WSD Pro only)  Select "Yes" to allow a request's Author, Maintainer, or Submitter -- who only has "Access" (View-Only) permission for a stage -- to disapprove his/her request back to a previous stage or to the Trash Bin  (see Workflow Permissions on the User Permissions screen). "No" prevents these users from disapproving their requests.
Maintain Directory Index files

Select "Yes" to turn on the Directory Indexing option; "No" turns off this option. You can select directories to be indexed on the  Create Directory  screen for new directories, and on the Directory Properties screen for existing directories.

When Directory Indexing has been selected for a directory, WSD will update the directory's index file each time content that resides in the directory is published or deleted.

You can assign the order in which content will appear in the directory's index on the Properties screen. If you do not assign the ordering, content will be placed at the top or bottom of the list, depending on the default set by Default Index Position below.

Default Publish Date These selections allow you to assign the default publication value for all Requests.  The default value selected on this screen can be changed for a specific request by changing the Publish Date: value on the request's Properties screen. The valid values are:
  • Immediately - Selecting this default will cause all requests approved to the Publishing stage to be published  immediately following final approval. 
  • Tonight - Selecting this default will cause all requests approved to the Publishing stage to be published the next time the publishing module is executed following final approval. 
  • Future Date - Selecting this default will cause all requests approved to the Publishing stage to be publish on the Future Date displayed on the request's Properties screen (the default Future Date will be the date the request is submitted), or the user must enter a new Future Date for the request to be published. The request will be published the first time the publishing module is executed following the date, or date and time, displayed/entered on the request's Properties screen. See "Publish Date Selection" below.
Default Author to Submitter Select "Yes" to set the initial value for the request's Author when a request to add new content is submitted to reflect the identity of the Submitter. "No" sets the Author to "Unknown" for new requests.  
    Note: When the Author of a request is set to Unknown, a valid user name must be selected on the document's Properties screen before the request can be approved to a stage that requires the Author's name. This requirement is set on the Add New Workflow Stage or Edit Workflow Stage screens under Required Request Fields.
Default Maintainer to Submitter Select "Yes" to set the initial value for the request's Maintainer when a request to add new content is submitted to reflect the identity of the Submitter. "No" sets the Maintainer to "Unknown" for new requests.  
    Note:  When the Maintainer of a request is set to Unknown, a valid user name must be selected on the document's Properties screen before the document can be approved to a stage that requires the Maintainer's name. This requirement is set on the Add New Workflow Stage or Edit Workflow Stage screens under Required Request Fields.
Add user to database on New User Request Select "Yes" to automatically add any user requesting addition to the WSD User Database via the User Entrance Page (see the Sample Entrance Pages tutorial). These users will only have "Access" permission (see Workflow Permissions on the User Permissions screen). If the new user is to have additional permissions, they must be added via the Edit User Info screen.  

Select "No" to automatically send an e-mail message to the System Administrator with the requester's Username, Password, Full Name, and E-mail Address. The submitter must be manually added to the User Database using the Add New User screen

Duplicate First and Last Names Allowed Select "Yes" to allow more than one user to have the same first and last name. To help identify these users on WSD screens and name lists, each user's Username displays to the right of their name. "No" prevents the addition of a first and last name if it is already assigned to an existing WSD user. 
Modify Templates

This selection allows you to assign the method used to modify templates for your site:

  • Template Admin - Templates must be added and modified using the  Maintain Templates  screens. Templates will be added immediately; changes made on the text editing screen will take effect as soon as the text is Updated. There will be no version history.
  • Submit Request - Templates must be added and modified using the  Submit New Request screen, and pass through the workflow/approval stages before being published. Templates added this way will have a version history.
  • Both. Either method may be used for adding and updating templates.
Template API Commands

This selection allows you to set Template API Commands to Atomic or Workflow, and defaults to Atomic.

  • Atomic - All Template API Commands update templates immediately.
  • Workflow - All Template API Commands submit template requests into the workflow.
Default Leave Request Locked

Select "Yes" to leave requests locked when they accessed via the Edit Request screen. Users must deselect the "Leave Request Locked" checkbox to unlock the request. 

"No" leaves the request in it's previous state when accessed via the Edit Request screen.

Default Append Name and Date to Comments

This selection allows you to assign the method used to identify the user entering comments regarding a request.

  • Yes - A pre-selected (checked) checkbox titled "Append Name and Date to Comments" will be placed on Comments screens. WSD will append the commenter's name and the current date and time immediately following newly entered comments. This default setting may be changed on individual Comment screens by deselecting the checkbox.
  • No - An un-selected (not checked) checkbox titled "Append Name and Date to Comments" will be placed on Comments screens. WSD will NOT append the commenter's name and the current date and time immediately following newly entered comments. This default setting may be changed on individual Comment screens by selecting the checkbox.
  • Always - The commenter's name and the date will always be appended to the comments. The checkbox option is not provided; this default setting may not be changed.
Publish/Delete/Modify Date Selection (for Future Dates)

This policy allows you to select whether only a "Date Only" or "Date and Time" will be displayed for the Publish Date selection on requests' Properties screens (see Default Publish Date above). 

  • Date Only - The date in the format month, day and year. For example, May 20, 2001.
  • Date and Time -  The date (month, day and year) and time (hour, minute, and second). For example, May 20, 2001  10:32:01.  
Default Index Position

This selection allows you to assign the default location of newly published content in a directory's index file. "First" lists the newly published content at the top of the index. "Last" lists the newly published content at the end of the index.

Allow Spaces in Filenames

Select "Yes" to allow users to use spaces in filenames assigned to content maintained by WSD. "No" prevents users from using spaces in filenames.

Create new directories during Publishing Select "Yes" to allow users to publish content to a directory that does not currently exist (same as Add Directory). "No" prevents users from submitting a request to publish content in a directory that does not exist.
Ignore Property Permissions when submitting ADD requests Select "Yes" to allow users to supply suggested properties for new documents even if they don't have the permissions to edit those properties. "No" prevents users from entering suggested properties. See "Property Update Permissions" on the User Permissions screen.
Allow Text/HTML editing if no WYSIWYG editor is available

This policy tells WSD whether to allow users who do not have HTML editing permission to use the WSD Browser Editor when the WYSIWIG editor is not available or not installed on the workstaion they are using to access WSD. Select "Yes" to allow users to edit content using the WSD Browser Editor  when the WYSIWYG editor is not available. "No" prevents users from using the WSD Browser Editor if the WYSIWYG editor is not available and they do not have HTML editing permission.

Send E-mail Notifications Allows the site owner to turn on/off  ALL "non-Fatal Error" e-mail notifications (i.e. overnight, immediate, publication, etc). Required when there is no access to an SMTP server by WSD, can also be used when the site owner does not want the additional e-mail traffic caused by WSD notifications and relies on WSD users to periodically access WSD to check for work to be performed.
Send Fatal Error Notifications Allows the site owner to turn on/off only the "Fatal Error" e-mail notifications sent by WSD. Required when there is no access to an SMTP server by WSD. When set to "No" System Administrators must check the WSD Error Log (file: wsd.err in the WSD install directory) to see a list of fatal errors
Auto Submit Delete for Orphaned Documents Orphaned documents are those content elements of any MIME-type that are not linked to BY another document. Select "Yes" to enable the "Cleanup Database" module to perform a check to identify orphaned documents. All identified documents are submitted as Delete requests using the "Submitted By" source identified via the "Auto Delete/Modify Submitter" option on the System Configuration screen.   Note:  Content in directories with the "Skip Auto Delete" flag set and individual documents with the Request or Document "Option" Property "Skip Orphan Document Check" set will be ignored by the Cleanup Database module
Allow Java Menu/Navigation Applets

Select "Yes" to allow users to select Java Menus and Explorer Navigation in their User Preferences. Select "No" if Java Applets are not allowed for this domain. In this case, WSD will not provide user interface choices for Java Menus or Explorer Navigation. Default is "Yes."

Application Module Redirection

Select "Server" if switching between application modules will be controlled by module redirection on the server. This is the default value. Select "Browser" to use URL redirection in the browser to switch between application modules. This option should be used if you are encountering CGI errors. Note: This policy was created as a workaround for Windows servers using Microsoft IIS versions 5.x and 6.x that experience a CGI error problem documented by Microsoft.

SAVE POLICIES Select this function to save the changes made on this screen, and return to the System Administration screen.
CANCEL Select this function to cancel any changes made on this screen, and return to the System Administration screen.
