SYSTEM CONFIGURATION

This screen allows you to revise the WSD system configuration information. 

INFORMATION ON THIS SCREEN:
Next Document Number

This number will be assigned to the next document or template Published via WSD; then incremented by 1. There are two situations where a new document number will be assigned:

  • When a Document or Template added via an ADD/UPLOAD request is Published.
  • When a MODIFY request for an existing document not added via a WSD ADD/UPLOAD request is published.
  • When a MODIFY request for an existing template not added via a WSD ADD/UPLOAD request, or added via the Template Maintenance function, is published. 

Modifying an existing document or template that already has a Document Number will not increment the number. Deleting an existing document or template that has a Document Number will not decrement the number.

The number may be manually updated (for instance, to skip to a new series on a new year) on this screen, and may not exceed nine digits.

Version Increment

This number is used as the default increment for each version of an existing document or template modified via Submit New Request at the time the request is created. New documents and templates (via an ADD/UPLOAD request) have a Version Number of 1.0, and will increment by the number shown here each time the document or template is published. 

For example, if you designate a Version Increment of 0.1 (the WSD default), the next time the document or template is published, the Version Number will increment to 1.1. If the document or template Version Number climbs to 1.9, the next time it is published, the number will increment to 2.0

Request/Approval History Age (in days)

This number indicates the length of time that the approval history of a published document or template will be retained before the WSD Overnight Cleanup module removes it. After the approval history of a version has been removed, you can still view and revert to a previous version, but you will no longer be able to view the approvals for the version on the Approval History screen.

The WSD Overnight Cleanup module uses the value in this field to identify the length of time the approval history files should remain before deleting them. This time is based on elapsed time in 24-hour increments from the actual time each version was published. For exampe, if this age is set to 2, any approval history will be deleted when the cleanup module is next run "after" 48 hours have elapsed since the approval history file was created.

IMPORTANT: If you want to keep the approval history information in the database forever, set this field to -1.

Temp File Cleanup Age (in days)

This number indicates the length of time that temporary files will be retained. Temporary files include pending submissions, request backup files, preview files, and temporary version files. Pending submissions result from work-in-progress on a request that is aborted before the request is submitted or updated. 

For example, if you click the browser's Back button instead of the WSD Return button, or your browser is closed while you are working on the request, WSD will not have the opportunity to delete the pending submission.

The WSD Cleanup module uses the value in this field identify the length of time these temporary files should remain before deleting them. This time is based on elapsed time in 24-hour increments from the actual time each temporary file was created. If this age is set to 2, any temporary file will be deleted when the cleanup module is next run "after" 48 hours have elapsed since the temporary file was created.

IMPORTANT: If you do not want these temporary files to be deleted, set this field to -1.

Directory Index Filename

This filename will be used to name all directory indexes created by WSD. This field is only displayed when "Yes" has been selected for Maintain Directory Index Files on the System Policies screen.

Directory index files are created and maintained automatically by WSD within each selected directory, whenever WSD publishes content to or deletes content from a directory that is being indexed. To make it easy to identify the index file within a directory, the same filename is used for all index pages. The index file will not be created within a directory until WSD publishes the first document into the directory, or you select "Rebuild Index" on the Maintain Web Site screen.

Default Directory Index Template

This drop-down list is used to select the template that will be used as a default to format your directory index files. It is displayed only when "Yes" has been selected for the Maintain Directory Index Files on the System Policies screen. You may select the template you want WSD to use the next time the index file is generated from the drop-down list of available Index Templates. A "sample.index" index template is provided with the WSD system

If you want to use a different template for a specific directory, go to that directory's Properties screen.  Also see Maintain Directory Index Templates for more information.

Immediate Notification E-mail Template

(WSD Pro only)  Use this drop-down list to select the template that will be used to format Immediate E-mail Notification Messages sent by the WSD Notification Module. Immediate Notifications are sent to users when requests enter a stage they have selected for "Immediate" notification on their  Edit User Info screen.

A "sample.immediate" email template is provided with the WSD system. Also see Maintain E-mail Templates for more information.

Overnight Notification E-mail Template

(WSD Pro only)  Use this drop-down list to select the template that will be used to format Overnight E-mail Notification Messages sent by the WSD Notification Module. Overnight Notifications are sent to users on a scheduled basis set by your system administrator. Each e-mail will list the requests in all workflow stages the user has selected for "Overnight" notification on their Edit User Info screen.

A "sample.notify" email template is provided with the WSD system. Also see Maintain E-mail Templates for more information.

Overnight Reminder E-mail Template

(WSD Pro only)  Use this drop-down list to select the template that will be used to format e-mail Reminder messages sent by the WSD E-mail Notification Module. Reminders are sent when users have requests waiting for their review/approval longer than the time limit entered in Reminder Age (in days) below. User Administrators determine which users will receive reminders and for which workflow stage they will receive them. Users with User Administration permissions can 'turn off' their own or another user's Reminder messages for specific stages using the Edit User Info screen.

A "sample.remind" e-mail template is provided with the WSD system. Also see Maintain E-mail Templates for more information.

Document Submission Notice E-mail Template

Use this drop-down list to select the template that will be used to format e-mail messages sent by the WSD Immediate Notification Module when new requests are submitted into the workflow. Who will receive Submission notices is set for specific directories by a System Administrator on that directory's Submit Notifications screen. When a new request is submitted for a document that is either being added to or currently exists in the directory, the assigned users will be notified of the submission.

A "sample.submit" e-mail template is provided with the WSD system. Also see Maintain E-mail Templates for more information.

Document Publication Notice E-mail Template

Use this drop-down list to select the template that will be used to format e-mail messages sent by the WSD Immediate Notification Module to users whenever WSD publishes content. The designated Author will always receive immediate notifications. Other publication notices are set for individual directories by a System Administrator on that directory's  Publish Notifications screen. When a request is published for a document that is either being added to or currently exists in the directory, the assigned users will be notified of the publication.

A "sample.doc-publish" e-mail template is provided with the WSD system. Also see Maintain E-mail Templates for more information.

Template Publication Notice E-mail Template

Use this drop-down list to select the template that will be used to format e-mail messages sent by the WSD Immediate Notification Module to the Author of a template when it is published to the web site. This message will not be sent to templates added or changed via the Maintain Templates functions.

A "sample.template-publish" e-mail template is provided with the WSD system. Also see Maintain E-mail Templates for more information.

Reminder Age (in days) This number reflects the number of days that a request can remain in the same workflow stage before a Reminder e-mail message is sent to users responsible for requests in that stage. See Overnight Reminder E-mail Template above.
Default Edit Online Image Directory The directory path(s) entered here is/(are) used as the default for creating lists of images made available to the online WYSIWYG editor during online editing sessions. The value(s) entered here will be used for all directories that do not have a different value declared in their Directory Properties. Multiple directories may be specified, separated by commas. You may change this directory for a specific directory on that directory's Properties screen.
Default Image Upload Directory The directory path entered here (only one allowed) is used as the default for creating lists of images uploaded from your local computer during online WYSIWYG editor sessions. WSD looks first in Directory Properties to see if an Image Upload Directory has been designated. If none is designated on that screen or here when you attempt to upload an image, an error message displays.
Dynamic Content Preview Directory The directory path and name where requests that reference dynamic content from your third-party software (i.e., Cold Fusion or active server pages) are temporarily stored for dynamic content "Server Redirects" during WSD view and preview functions.
Local Domain Name The domain name entered here is the name of the local Internet domain that will contain all requests submitted through WSD (for example, "company.com"). When WSD sends an e-mail message, the SMTP mail server may request authentication to know where the message originated. WSD will append this Domain Name to all e-mail address stored in WSD that do not have a domain name associated with them (i.e. Using the example above, if a user's e-mail address in Edit User Info is sam, WSD will send notifications to sam@company.com).
SMTP Host Name This host name or IP-address (for example: 127.0.0.1) identifies the machine to which WSD will send e-mail notifications. When WSD sends an e-mail message, it contacts the SMTP mail server at the location specified in this field. The designated SMTP server MUST be available and running for notifications to be sent.
  • Note: When running WSD on a UNIX server that uses a Sendmail mail server, and the Sendmail server will not accept direct SMTP connections, enter the full path to the Sendmail server program in this field (for example: "/usr/sbin/sendmail").
New Account Request Address This e-mail address will be used for all external requests for a new WSD Username. These requests may be submitted on a WSD Entrance Page. See the Sample Entrance Pages tutorial.
Notify From Address This e-mail address will be the "From" address used by the SMTP mail server when WSD sends e-mail notification messages. This address may be overridden by using "From <e-mail address>" in the E-mail Template for the notification message.
Default Approval Class for Document Submissions (WSD Pro only)  The Approval Class identified here will be the Default Approval Class for all new Document requests, including requests submitted by e-mail. This Approval Class may be overridden for specific directories on each directory's Properties screen. See Maintain Approval Classes for more information.
Default Approval Class for Template Submissions (WSD Pro only)  The Approval Class identified here will be the Default Approval Class for all new Template requests, including requests submitted by e-mail. See Maintain Approval Classes for more information.
Site Name Any value entered here will be "pre-pended" to all WSD screen "Title Bars" and to the footer on the "Application Desktop" screen. This will differentiate between browser instances accessing multiple web sites for the same organization. It also makes it easier to quickly identify which web site is being accessed by multiple WSD browser windows on a user's desktop.
Auto Delete/Modify
Submitter

This drop-down list is used by the WSD "Cleanup Database" module to assign the "Submitted By" value when an automated request (see Automated Submissions ) is submitted for the following:

  • Orphaned Documents - content elements of any MIME-type that are not linked to BY another document
  • Expired Content - content that has an Expiration Date set to automatically submit a Modify or Delete request at a future date.

The list  includes all WSD users in addition to two special users:

  • ***Document Author*** -- The user assigned as Author on the Properties screen for a Document or Template will be used as the Submitter for automatically generated requests.
  • ***Document Maintainer*** -- The user assigned as Maintainer on the Properties screen for a Document or Template will be used as the Submitter for automatically generated requests.

To select a listed user as the Submitter for Automated Submission requests, select the applicable name in the list and click Update Config .

Proxy Hostname When a a Proxy Server Hostname is entered into this field, all external links validated in the Links screens will be vertified using the Proxy Server.
Proxy Port When a Proxy Number is entered into this field, the Proxy Host entered into Proxy Hostname above will use the port number entered here.

FUNCTIONS:
UPDATE CONFIG Select this function to save the selections made on this screen, and return to the System Administration screen.
MIME TYPES Select this function to display the Maintain Mime Types screen.
RETURN Select this function to return to the System Administration screen without saving any of the changes made on this screen.
