SYSTEM ADMINISTRATION

This screen allows you to access screens where you may perform System Administration functions.

FUNCTIONS (INSIDE THE TABLE ON THE RIGHT):
ALL PENDING REQUESTS This line displays the total number of requests awaiting processing in all users' Pending Requests stages. Click Process Requests to display the All Pending Requests screen where you can assign requests to a stage, or delete them.
TRASH BIN This line displays the number of disapproved requests awaiting processing in the Trash Bin. Select this function to display the Trash Bin screen.
PUBLISHING This line displays the number of approved requests awaiting publishing. Select this function access to the Publishing screen.
SCHEDULED PROCESSES  

Publish Overnight

Select this Scheduled Processes function to immediately execute the wsdpublish module and publish all approved requests with a publishing date of "Tonight" or a "Future Date" set equal to or prior to today's date. See the Scheduled Processes tutorial.

Send Notices

( WSD Pro only) Select this Scheduled Processes function to immediately execute the wsdnotify module and send e-mail notification messages regarding requests in the workflow stages. See the Scheduled Processes tutorial.

Cleanup Database

Select this Scheduled Processes function to perform an analysis, verification of the integrity of the WSD database and the WSD Document Repository, with an automated clean up of any/all of the following:

  1. Abandoned Pending Requests not saved (requests resulting from closing browser windows for new requests without performing a "Save" or "Submit" to Complete the Request) that have been in the file system longer than the value specified in "Temp File Cleanup Age (in days):" on theSystem Configuration screen.
  2. Abandoned temporary files for Previews, Version History displays, Document Properties screens, and Upload-related files left in the file system when users or system failures close WSD-related browser windows before completion of these processes.
  3. Interim Version files resulting from Revision Control System (RCS) errors reported in the WSD error log.
  4. Request History files that have been in the file system longer than the value specified in "Request/Approval History Age (in days): on theSystem Configuration screen.
  5. "Orphaned" content check - identifying all files that are not pointed TO by any documents maintained by WSD. Orphan Check processing automatically creates "Delete" requests as needed when the "Auto Submit Delete for Orphaned Documents" System Policy is set; excluding all content located in directories with the "Skip Orphan Document Check" Directory Property set and individual content with the "Skip Orphan Document Check" value set for the "Options " Document Property.
  6. "Expired" content check - identifying all content with an "Expiration Date" Document Property equal to or earlier than today's date. The "Expiration Date" preocessing, creates automated "Delete" or "Modify" requests as needed based on the "Expiration Date " Document Property value.

 When this module is run as a scheduled process and errors are detected, this module will generate an e-mail, sent to the System Administrator. See the Scheduled Processes tutorial.

When this module is excuted from the browser, all output is displayed in the user's browser window.

Verify Database

Select this Scheduled Processes function to check for mismatches between the SQL database contents and the WSD-manged portion of the server's file system for errors that will require administrator intervention to be corrected. Checks include verifying the integrity of databse table relationships, dependencies, and comparing request-related database contents against the actual request files in the WSD Requests subdirectory on the server. This module generates output only when errors are detected. See the Scheduled Processes tutorial.

Check Permissions

Select this Scheduled Processes function to immediately execute the wsdutils module and display the Server Permissions Check report. See the Scheduled Processes tutorial.


FUNCTION (BUTTONS ON THE LEFT OR RIGHT):
MAINTAIN STAGES ( WSD Pro only) Select this function to display the Maintain Workflow Stages screen where you can add, edit, or delete workflow stages for your site.
MAINTAIN GROUPS Select this function to display the Maintain Groups screen where you can add, edit, or delete workflow approval groups of users sharing a common purpose, i.e. a company policy committee.
MAINTAIN TEMPLATES

Select this function to display the Maintain Templates screen where you select the Template Group (Header, Footer, E-mail, Directory Indexing, Edit Layout or Page Layout), and display the Maintain <template-group> Templates screen where you can add, edit, delete, and apply templates immediately without going through the Submission and Approval process.

Note: If "Modify Templates" has been set to "Submit Request" on the System Policies screen, the only function available from the Maintain <template-group> Templates screen will be "Apply Template."

APPROVAL CLASSES ( WSD Pro only) Select this function to display the Maintain Approval Classes screen where you can create and maintain workflow approval paths for your site.
MAINTAIN WEB SITE Select this function to display the Maintain Web Site screen where you can access screens to control WSD user access and maintain Meta data for your site's directories. It provides access to the Directory Properties screen where you can enter Meta data, mark directories as "Private" (including all documents within the directories), select directories to be indexed, and restrict user access to your directories.
SYSTEM POLICIES Select this function to display the System Policies screen where you can set system policies including Default Publication Date, Duplicate First and Last Names Allowed, and Publish Date.
SYSTEM CONFIG Select this function to display the System Configuration screen where you can configure WSD options such as e-mail templates, Directory Indexing defaults, and document numbers.
RETURN Select this function to return to the Application Desktop.
