HOW TO SUBMIT A REQUEST

WebSite Director (WSD) provides a Submit New Request screen so that, based on your user permissions, you may submit requests to Add, Modify, Move, Copy, Rename or Delete content (documents and templates). 

WSD also provides several other options for submitting requests, based on the following requirements:

    • E-Mail Submission - Your site must be configured so that WSD can receive e-mail submissions to create new requests to Add, Modify, Move, Copy, Rename or Delete content. You must designate specific e-mail addresses if you decide to use this function . For more information on setting up and using E-mail Submissions, see the E-mail Submission tutorial.
    • Live Submit - Your site must be licensed for this option (check with your System Administrator). The Live Submit function allows you to  easily select and submit requests while browsing your web site. For more information, see the Live Submit help screen. 
    • WebDAV [Web Distributed Authoring and Versioning] - If your site is licensed for this WSD add-on (check with your System Administrator), you may use a WebDAV client such as Microsoft Web Folders to submit requests by dragging content from your hard drive into one of the WSD directories. Each request submitted to WSD must pass through a series of workflow (edit and approval) steps, called "stages."  When you submit a request from the Application Desktop, the request will be placed into the Default stage determined by the Approval Class to which the request is assigned. The required stages through which the request will pass are also defined by this Approval Class. 

Note: If you attempt to submit a request into a stage that is not assigned to the Approval Class, you will receive an error message. If you have Modify Approvals Needed permission (assigned on your User Permissions screen), you may change the stages assigned to the Approval Class by going to the Approvals Needed screen for the Request (accessed from the Request's Properties screen.

The Approval Class for your new Request will be determined as follows:

  • If you have been assigned an Approval Class (see Edit User Info ), the new request will be placed in the Default Workflow Stage for your assigned Approval Class.
  • If you have not been assigned an Approval Class, and the subdirectory for your new request has an assigned Approval Class, your request will be placed into the Default Workflow Stage for that Approval Class.
  • Otherwise the request will be placed in the Default Submission Stage for the Default Approval Class assigned on the System Configuration screen.

The remainder of this document provides instructions for submitting a request to add new content using the WSD Submit New Request screen. For additional help, click the Help icon located in the upper right of each screen.


Log on to WSD (if not already logged on)  

To submit a new request using your browser, you must be logged on to WSD. When you log on to WSD, the Application Desktop is the initial screen that is presented. The instructions in this tutorial assume you are submitting your request from WSD's Application Desktop.

The information displayed on the Application Desktop depends on your User Permissions (assigned by your User Administrator), whether JavaScript is enabled in your browser, and your site's default interface or the interface choices you made on your User Preferences screen.

  • For example, if you select Explorer as your masthead and "Java" as your Menu on your User Preferences screen, 
    • a drop-down Menu displays, located immediately under the Masthead. This Menu allows you to quickly navigate to specific WSD functions by clicking on any of the menu entries at this level, and is set by selecting the Menus option to Java on your User Preferences screen. You may Hide  or Show  this Menu Bar by selecting the applicable icon on the left side of this bar.
    • A Tool Bar, consisting of small gray icons, will be located under the Masthead. As you hover your mouse over individual icons, each will display in color and pop up a description of the associated WSD function. The description will also appear on your browser's status display at the bottom of your browser window. This Tool Bar allows you to quickly navigate to specific WSD functions by clicking on any of the icons, and is set by selecting the Menus option to Java on your User Preferences screen. You may Hide  or Show  this Tool Bar by selecting the applicable icon on the left side of this bar.
  • If you select Explorer as your masthead and "None" as your Menu, a Toolbar consisting of large brightly colored icons will be located under the Masthead. As you hover your mouse over individual icons, each will display a description of the associated WSD function. This description will also appear on your browser's status display at the bottom of your browser window. This Toolbar allows you to quickly navigate to specific WSD functions by clicking on any of the icons, and is set by selecting the Masthead option of Explorer and Menus option of None on your User Preferences screen.

Your User Preferences screen also provides you with the ability to select your own colors for the WSD masthead background, Menu/Toolbar Background, Screen  Background, and Error Window background. 

Note 1: If you are using one of the icon-based interfaces, the Icon Key  or  provides definitions of the icons displayed in the masthead.

Note 2: If descriptive information does not display when you hover your mouse over individual icons (when using any of the icon-based User Preferences), check our browser settings. They may prevent the descriptive information from being displayed


This section describes how you will interact with WSD to submit requests to Add New Content and Manipulate Existing Content using your web browser. When manipulating existing content, WSD allows you to Modify, Move, Copy, Rename, or Delete existing content. WSD will restrict your ability to perform all of these functions based on the User Permissions you were given by your User Administrator.

How to Create a Request
(and select an existing document or the location for the new content)
 

Before submitting a request to modify existing or add new content, you must navigate to the location (directory) where that content is or is to be published.

  • If you are submitting a request to add new content to the site and do not know where the content will be published, you can create the request without specifying the publishing location. However, the publishing location must be entered (via the Properties screen) before the document can be approved to a stage where the Filename Path is a Required Request Field (see Edit Stage).
  • If you are submitting a request to modify existing content and DO NOT KNOW where the content is currently published, WebSite Director (WSD) provides the ability to create a request using a fictitious filename. Then use the "Comments" area to provide the necessary information so the content can be located by someone else in the workflow process. If you know how to find the published page by navigating the web site, you can use "Live Submit" (see information below).

To navigate to the location on the web site where your content is (or will be) published, use one of the following methods:

  • Type the full path into the "Current Directory" field, then either click Change Current Directory  or the "Change Directory" button. The available navigation is controlled by your User Preferences selections. WSD will redisplay this screen, with the list of directories and files in that directory displayed under "Directories and Documents."
  • Repeat the following steps until the "Current Directory" field displays the correct directory:
    • Select a directory name from the list of directories under "Directories and Documents"
    • Click either  Change Directory  or the "Change Directory" button to redisplay this screen with the new path in the "Current Directory" field. To back up one directory level, WSD provides one of the following methods, depending on your User Preferences settings:
      • Click  to redisplay this screen with the new path in the "Current Directory" field.
      • Select the 1st list entry (contains ".." to indicate the parent directory) under "Directories and Documents" then click the "Change Directory" button to redisplay the screen with the new path in the "Current Directory" field.

Warning: If you do NOT navigate to a directory before using the Add/Upload function, the location to which the document should be published will have to be set on the document's Properties screen prior to publishing.

How to Select the Workflow Stage

The workflow stage into which your request will be placed is based on the "Default Submission Stage" associated with the "Approval Class" for your request. That location is determined as follows:

  • If you have been assigned an Approval Class, the new request will be placed in the Default Workflow Stage for your assigned Approval Class.
  • If you have not been assigned an Approval Class, and the subdirectory for your new request has an assigned Approval Class, your request will be placed into the Default Workflow Stage for that Approval Class.
  • Otherwise the request will be placed in the Default Submission Stage for the Default Approval Class assigned on the System Configuration screen.

If you are submitting into a specific stage, and the Approval Class allows submission into the stage, the request will be placed in the specified stage. However, if you are submitting a request from within a workflow stage that is not valid for the request, you will receive an error message.

NOTE: If your request is for an existing document that was originally created via WSD, but modified/republished to the site by some other method (for example, FTP), you will receive a message asking if you want to submit the published version or the WSD version. If you select WSD, you will be submitting the previously published version, not the current version on the web site.

How to Submit a Request to Add New Content

The WSD Add/Upload Document screens allow you to submit requests to add new content (text, graphics, binary files, etc.) to your web site. To submit an Add/Upload request from the  Submit New Request  screen, click Add/Upload Document

The first of two ADD/UPLOAD DOCUMENT screens displays with a Request Category of "Document." Enter the filename of the new content, select a Page Layout Template, if one is to be used to create the new content, and click CONTINUE to proceed to the next Add/Upload Document screen

Note 1: If you Submit an Add request for a document with the same path and filename of a previously deleted document, WSD will ask you if you want to create a new document or recover the deleted one.

Note 2: If you want to add a new template, Cancel this request to return to the Submit New Request screen, and select a Request Category of "Template" on that screen.

The second ADD/UPLOAD DOCUMENT screen displays the information entered on the first screen, and  allows you to continue with the Add/Upload request. Based on your permissions, you may be able enter some or all of the content-related data associated with the request. You may also use the Comments area to provide any instructions required for others to create the content associated with your request. When you are finished entering your information, select one of the following function keys located under Finish Request:  

    SUBMIT - WSD saves the new request and displays the Request Processed screen with the following information:
    • the approval stage into which the new request was placed, 
    • the Request Type and the pathname and filename of the document 
    • A button titled: RETURN TO SUBMIT NEW REQUEST, which will return you to the Submit New Request screen, and 
    • (Optional) a button labeled GO TO <Workflow Stage Name> (the workflow stage into which the new request was placed). Note: This button displays only when you have permission to access, edit, or approve documents in <Workflow Stage Name>.
  • SAVE - If you wish to do additional work on this request before you submit it into the Workflow process, select this function. When you choose Save, WSD saves the new content and places it into your Submission workflow stage. This is a private workflow stage where you can work on requests before Approving them into the workflow process. Note: Requests in your Submission stage can only be viewed by you or the System Administrator.
  • CANCEL- If you wish to cancel your request, select this function. WSD displays the Confirm Cancel Request  screen where you will be prompted to confirm cancellation of the request. 

WARNING: If you exit the Add/Upload Document screen by using your Browser's Back button, or if your Browser is terminated before you click Submit, Save or Cancel, the request will be placed in your private Submissions stage. You may later go to your Submissions stage and either cancel your request or  submit the Add/Upload Document request into the workflow.

How to Submit a Request to Manipulate Existing Content

The WSD Submit New Request screen allows you to select existing content, create s request to manipulate that content (text, graphics, binary files, etc.), and then submit that request to WSD for approval and publishing to your web site. Based on your User Permissions, WSD may allow you to to create requests to Modify, Copy, Move, Rename, and Delete existing content.

To submit a request from the Submit New Request  screen, click one of the following function buttons:Modify DocumentCopy DocumentMove Document,Rename Document, or Delete Document. The screen for the selected function displays.

MODIFY DOCUMENT - This screen displays content-related information for the content associated with this request, and allows you to submit a request to modify the content. Based on your permissions, you may be able to to enter or change some or all of the content-related data associated with this request. Functions available on this screen include Upload, View Request, Properties, Edit Online and Download in addition to Submit, Save and Cancel.

COPY DOCUMENT - This screen displays content-related information for the content associated with this request, and allows you to copy the content to a new filename. Based on your permissions, you may be able to to enter or change some or all of the content-related data associated with this request. Functions available on this screen include Upload, View Request, Properties, Edit Online and Download in addition to Submit, Save and Cancel.

MOVE DOCUMENT - This screen displays content-related information for the content associated with this request, and allows you to move the content to a new path and filename. Based on your permissions, you may be able to to enter or change some or all of the content-related data associated with this request. Functions available on this screen include View Request and Properties in addition to Submit, Save and Cancel. 

RENAME DOCUMENT - This screen displays content-related information for the content associated with this request, and allows you to rename the content to a new filename. Based on your permissions, you may be able to to enter or change some or all of the content-related data associated with this request. Functions available on this screen include View Request and Properties in addition to Submit, Save and Cancel.  

DELETE DOCUMENT - This screen displays content-related information for the content associated with this request, and allows you to delete the content from the web site. Before completing your request, you may use the Comments area to enter any instructions required for others to provide additional processing associated with your Delete request. Functions available on this screen include View Request and Properties in addition to Submit, Save and Cancel.  

When you are finished entering your information, select one of the following function keys located under Finish Request:
