ADD NEW APPROVAL CLASS

This screen allows you to define a new workflow process, called an Approval Class.

Note: If you later decide to add new workflow stages and groups that are required for the Approval Class you are adding, you must use the Edit Class function to update the Approvals Needed so WSD will enforce their use.

INFORMATION ON THIS SCREEN:
Class Name Type the name of the new Approval Class in the data entry box.
Default Submission Stage

Required. Select a Stage from the drop-down list of existing stages. This is the workflow stage into which new requests will be submitted.  WSD uses the following rules to determine which Approval Class to use:

  1. If you have been assigned an Approval Class on the User Permissions screen, WSD will use that Approval Class for the new request.
  2. If you have not been assigned an Approval Class, and the subdirectory for the new content has been assigned an Approval Class on the Directory Properties screen, WSD will use that Approval Class for the new request.
  3. If neither you nor the subdirectory have an assigned Approval Class, WSD will use the Default Approval Class for Document Submissions assigned on the System Configuration screen.
  4. If the submission is made from another server process using the external API, that process should specify which Approval Class will be used to create the request. Note: If the server process does not specify an Approval Class, WSD will determine the Approval Class based on the User ID assigned to the process before applying steps 1, 2 and 3 above . 

The Stage selected here must also be selected as Required under Approvals Needed (see below).

Auto Submission Stage

Required if Auto Submission is allowed (see System Policies screen - "Publish/Delete/Modify Date Selection" and "Auto Submit Delete for Orphaned Documents") and the "Cleanup Database" module is being used as part of System Administration.

Select a stage from the drop-down list. The stage selected here will be the stage into which automated Delete/Modify requests will be submitted by the "Cleanup Database" module, normally scheduled as an overnight process by System Administrators.  To determine which stage to use, WSD assigns the request to the user type or a specific user name which is defined on the System Configuration screen under "Auto Delete/Modify Submitter," based on the rules covered under Default Submission Stage above.

Approvals Needed

This selection has three columns: Required, Submit and Prior.

(a) Required -  This column lists the existing Workflow Stages for your site, and allows you to select one or more Stages (or Groups within Group Stages) that are Required for the Approval Class.

  • You must check the Required checkbox for the stage selected as the Default Submission Stage (see Default Submission Stage above).
  • If you do not select any stages as Required, users assigned to the Approval Class will only be able to Submit a request directly to Publishing, or Save it to their "My Pending Requests" stage.

(b) Submit - This box must be checked if you want users to have the ability to submit requests into the associated stage when submitting new requests.

(c) Prior - When this option is selected, and any user modifies the content within the associated stage, the request can only be approved to a prior stage in the Approval Class, or to the Submitter?s "My Pending Requests" stage. 

Note: Make sure you have added all required workflow stages and groups before you add your approval class. 

FUNCTIONS:
ADD Select this function to add the new Approval Class  and return to the Maintain Approval Classes screen. Note: WSD assigns an identification number to the new class (Class ID) which may be used with API functions that use classes.
CANCEL Select this function to cancel all data entered on this screen and return to the Maintain Approval Classes screen.
