DOCUMENT MAINTENANCE OVERVIEW

WebSite Director Express (WSD) allows you to add and process documents through the Maintain Documents screen. The Maintain Documents screen is accessed from the WSD Application Desktop screen.

The Maintain Documents screen displays the following information: 

  • Working Directory: - the root directory of the portion of your web server that WSD maintains. The Working Directory is primarily used to construct fully-qualified Universal Resource Locators (URLs) to the pages maintained by WSD.
  • Current Directory: - When first accessed, this data entry field displays the Working Directory name. You may type a new directory name, or select a subdirectory from the Current Documents: list. 
  • Current Documents: - The names of the subdirectories and documents in the Current Directory. If you will be selecting a function for an existing document (for example, Edit Document), you must highlight the document name in this list.
The following Document Maintenance functions available from the Maintain Documents screen are discussed below:
Note:  If a document has been locked, the message: Document is locked by <last name>, <first name> (<user id>) displays if you attempt to Edit, Delete, Move or Rename the document. See Locked Documents for more information.

View Document

WSD presents the View Document screen from the Maintain Documents and any other screen that allows the View Document functionality. To view a document, 

  • highlight the document in the list box and 
  • click VIEW DOCUMENT.
When Javascript is enabled in your browser, WSD renders the current document in a new browser window. If Javascript is not enabled, the document is rendered in your current browser window and you will have to use your browser's [Back] button to return to the calling screen from which you issued your View Document request. 

Properties

The Properties function allows you to display the following information about a document selected from the Maintain Documents screen (this screen may also be displayed from the WSD Application Desktop screen):

  • Document - the path and file name of the document.
  • Title - the title appearing in the document. If you have the proper permissions, you may change this information.
  • Description - a brief description of the document.  If you have the proper permissions, you may change this information.
  • Locked By - the name of the user who is presently working on the document, or the name of the user who locked the document. A drop-down list includes all current WSD user. To unlock the document or change the user name, highlight the word "No Lock" or the name of one of the listed users in the drop-down list. Then click [UPDATE] to save the information.
  • Author - the person responsible for creating the initial document content. A drop-down list includes all current WSD users. To change the Author name, highlight the name of one of the listed users in the drop-down list. Then click [UPDATE] to save the information.
  • Created - The date this document was created.
  • Created By - The full name and user name of the authorized user who created the document.
  • Last accessed - the day of week, month and day-date, time, and year the file was last accessed.
  • Last modified - the day of week, month and day-date, time, and year the file was last modified. These are the times at the server's location and may be different from the local time at your location.
  • Modified By - The name of the user who last modified the document.
  • File Size - the size (in bytes) of the document file.
  • The following fields apply to UNIX only.
    • Current UID: - This is the UNIX UID of the current user.
    • Current GID: - This is the UNIX GID for the current user.
    • File Owner UID: - This is the owner of the filesystem created via TeamWSD Lite.
    • File Owner GID: - This is the group for the filesystem created via TeamWSD Lite.
    • File Permissions - if you are not using CGIWrap or an equivalent utility, and you want to be able to update files in the Working Directory outside of WSD lite, click the appropriate Read and Write checkboxes to assign permissions as follows:
      • Owner - assign Read and/or Write file permissions to the "File Owner UID" displayed above.
      • Group - assign Read and/or Write file permissions to the "File Owner GID" displayed above.
      • Other - assign Read and/or Write file permissions to all other users who are not the UID or GID owner.
Add New Document

The Add New Document function allows you to add a new document and associated descriptive information to the WSD  document list. You must have "Write Access'" permission to add a new document. See Edit User Info. After you successfully complete this request, any authorized WSD user can view or edit your new document. 

You may create new documents using the EditLive! WYSIWYG Online Editor. You may also use the browser's editor if you know HTML,  or you may upload an existing document on your computer. WSD also provides a Page Layout Template feature.

Upload New Document

The Upload New Document function allows you to upload a new document from your local computer to the WSD  document list. You must have "Write Access'" permission to add a new document. See Edit User Info. After you successfully complete this request, any authorized WSD user can view or edit your new document. 

Download Document

WSD provides a Download Document function that allows you to select and download a document to your local hard drive. To download a document from the Maintain Documents screen, you must locate and highlight the document in the Current Documents: list box on the Maintain Documents screen and click DOWNLOAD DOCUMENT. Follow your browser's instructions for completing the download to your local hard drive.

Edit Document

The Edit Document function allows you to upload a modified version of the document from your local hard drive, edit the document online using the EditLive! WYSIWYG editor or the browser editor, or download a copy of this document to your local hard drive for editing on your computer.  This screen allows you to lock a document while you are working on it. If another user is currently working on the document, or has locked the document, you will not be able to edit it. For more information, see Locked Documents.

Delete Document

The Delete Document function allows authorized users to delete documents from the WSD document repository. You must have 'Write Access' permission to delete a document. See User Administration. If a document has been locked, the message: Document is locked by <last name>, <first name> (<user id>) displays if you attempt to Delete the document. See Locked Documents for more information.

Move/Copy Document

The Move/Copy Document function lets you perform the following functions:

  • Move a document from one directory to another at your site. Each directory must be either the Working Directory or a directory under the Working Directory. If a document has been locked, the message: Document is locked by <last name>, <first name> (<user id>) displays if you attempt to Move the document. See Locked Documents for more information.
  • Copy a document to a different name in the existing directory
  • Copy a document to another directory with a different name or with the existing name.
Rename Document

The Rename Document function lets you rename a document at your site. You can also use this function to move documents. You must have 'Write Access' permission to upload a new document. See User Administration. If a document has been locked, the message: Document is locked by <last name>, <first name> (<user id>) displays if you attempt to Rename the document. See Locked Documents for more information.
