APPLICATION DESKTOP


This version of the Application Desktop screen uses the Browser Navigation interface that was set on the User Preference screen. This setting may be your  site's default interface, or the interface choice you made on your User Preferences screen. See Screen Format to determine which setting you have.

SCREEN FORMAT

There are three views available with the Browser Navigation selection, depending on the Masthead and Menu settings:

  1. Masthead=Explorer, Menu=Java: workflow stages are listed with the function you may perform for each stage. The Masthead provides the following:
    • A drop-down Menu, located immediately under the Masthead. This Menu allows you to quickly navigate to specific WSD functions by clicking on any of the menu entries at this level, and is set by selecting the Menus option to Java on your User Preferences screen. You may Hide  or Show  this Menu Bar by selecting the applicable icon on the left side of this bar.
    • A Tool Bar, consisting of small grey icons located under the Masthead. As you hover your mouse over individual icons, each will display in color and pop up a description of the associated WSD function. The description will also appear on your browser's status display at the bottom of your browser window. This Tool Bar allows you to quickly navigate to specific WSD functions by clicking on any of the icons, and is set by selecting the Menus option to Java on your User Preferences screen. You may Hide  or Show  this Tool Bar by selecting the applicable icon on the left side of this bar.
  2. Masthead=Explorer, Menu=None: workflow stages are listed with the function you may perform for each stage. The Masthead provides the following
    • A Toolbar consisting of large brightly colored icons located under the Masthead. As you hover your mouse over individual icons, each will display a description of the associated WSD function. This description will also appear on your browser's status display at the bottom of your browser window. This Toolbar allows you to quickly navigate to specific WSD functions by clicking on any of the icons, and is set by selecting the Masthead option of Explorer and Menus option of None on your User Preferences screen.
  3. Masthead=Browser, Menu=None: workflow stages are listed with the function you may perform; buttons listed to the right or left of the stages provide function access.

If you are using one of the icon-based interfaces, the Icon Key  or  provides definitions of the icons displayed in the masthead. Your User Preferences screen also provides you with the ability to select your own colors for the WSD masthead background, Menu/Toolbar Background, Screen  Background, and Error Window background. 

Warning: If descriptive information does not display when you hover your mouse over individual icons (when using any of the icon-based User Preferences), check our browser settings. They may prevent the descriptive information from being displayed.

 

INFORMATION ON THIS SCREEN:
User Your First and Last Name (e.g. John Doe) and your User Name (e.g. doeboy). Option 1 setting - displays at the bottom of the screen.
List of Stages

On the left side of this list, the Stage Name and number of requests in that stage displays; a function button labeled either "View Requests" or "Process Requests" displays on the right. The following rules determine which function, if any, will be displayed to the right of the Stage Name.

  • PROCESS REQUESTS - You may be able to edit and/or approve requests in the Stage. Click this button to go to the workflow processing screen for the stage.
  • VIEW REQUESTS - You may only view and possibly disapprove requests in the stage. Click this button to go to the view request screen for that stage.
    • If "Allow comment editing in View-only stages" has been set to "Yes" on the System Policies screen and you are the Submitter, Author, or Maintainer of a request, you may enter comments about that request.
    • If you are the Submitter, Author, or Maintainer of a request, you can disapprove that request if "Author can reject request in View-only stages" has been set to "Yes" on the System Policies screen.
  • NO FUNCTION BUTTON - If there is no button and only the workflow stage name displays, you were given permission to "Display No Access Stages" by your User Administrator. However, you can not access or view requests in the stage.

If the stage is a Group Approval stage, a drop down list showing "(for) <approval-group-name>" displays. You must Select the approval group name you are representing before clicking PROCESS REQUESTS or VIEW REQUESTS.

If the stage is an Author stage, a drop down list showing "(for) <author-name>" displays. Based on your permissions, you may be able to view or even edit the work of other authors. If not, only your name will be present in the drop-down list. If you are going to view, edit, approve, or disapprove the work assigned to someone else, you must Select that person's name before clicking PROCESS REQUESTS or VIEW REQUESTS.  

 

My Pending Requestsstage is always the FIRST stage listed, however, it is not a part of the request workflow. Your My Pending Requests stage is private and not accessible by other WSD users with the exception of a System Administrator. You can use this stage to create, save, and modify requests before submitting them into the workflow process. Requests are placed in your Pending Requests stage in one of the following ways:

  • You submitted a new request (on the Submit New Request screen) while you were in your Pending Requests stage.
  • You clicked "Save" on the Submit New Request screen while in another workflow stage.
  • The system placed the request in this stage due to a system error that occured while you were submitting a request you clicked the browser's back arrow, or you Closed the browser window instead of clicking Submit on the Submit New Request screen. These Requests are indicated by "(pending)" following the filename. "(pending)" requests will be removed by the Overnight Database Cleanup Module unless you save the request within the number of days specified by the "Temp File Cleanup Age (in days)" field on the System Configuration screen.

Remember: Requests in your Pending Requests stage may only be viewed by you or a System Administrator.

 

Each workflow stage listed under your Pending Requests stage shows "<#> requests waiting" (# = the number of requests in the workflow stage) indicating the number of requests that YOU will be able to edit and/or approve. This number may not be exact for the following stage types:

Author Stages - If you do NOT have any requests for which you are the author, the count will show zero (0). If "Update Documents in Author Stages" has been set on your User Permissions screen, you will be able to edit and/or approve requests on behalf of another author.
 
Group Stages - If you are a member of any of the groups required to approve requests in this stage, but there are no requests pending for any of those groups, the count will show zero (0).
